Job Summary
ADMINISTRATIVE TASKS Accurately process all orders within 24 hours of receipt. Clear e-mail inbox & check all relevant customer portals daily. Ensure no orders are missed and/or duplicated. Tax invoices to be emailed to all clients once completed. (No tax invoices are to be sent to online clients: these are uploaded on the respective online portals). Ensure pricing info per order is accurate & communicate differences with customers if needed. Ensure any items unavailable at the time are communicated with the customer and placed on backorder ( sales quotes for each client on the same day as receiving the order). Pay special attention to delivery instructions, courier fee charges, special requests, etc. both on the customer profile, order instructions & e-mail body. Convert sales orders to invoices once picked & packed by the warehouse ensure that stock that could not be invoiced due to unavailability is not reserved unnecessarily. Processing of weekly lead-time instore TAL orders, received from the accounts department. Creating sales quotations for confirmed POs of future-dated deliveries. Assist with stock management of reserved stock. Share backorder info with the sales team at least a week before arrival. Follow up with the sales team on customer feedback no less than 48 hours before the stock arrives. Process backorders & instruct the warehouse to remove surplus stock from reserve locations once completed. Assist with the management of upfront payment customers orders. Check warehouse whiteboard daily & communicate with sales reps about outstanding payments. Highlight any customers, for whom stock has been invoiced but not yet paid within 5 working days, to management. Follow up with clients regarding the collection of orders that were paid, but not yet collected. Keep the dispatch sheet current (all lines are 100% complete) & accurate. Identify customers whose courier fee percentage exceeds 5% of invoice value and report these to management monthly. Identify customers whose order value is below R3500 for delivery & report these to management monthly. Prepare sales quotes as & when needed. Clear sales quotes if rejected. Keep filing accurate & up to date, ready for audit purposes: Ensure that each tax invoice has all the required documentation attached (e.g. courier docs for POD, signed /stamped copy stating the orders were delivered by rep or collected by external parties, etc.) Answer phones professionally & provide exceptional customer service telephonically. Greet & welcome visitors. Offer coffee/tea and water & prepare accordingly. Notify the person with whom they are meeting about their arrival. Create and maintain task-specific SOPs. REQUIREMENTS Attention to detail and accuracy with the ability to plan, prioritize, and complete tasks on time. Ability to use initiative and develop effective and constructive solutions to challenges and obstacles. Clear and professional verbal and written communication. High level of customer service & excellent relationship-building Resilient, reliable, efficient, and organized. Strong analytical and critical thinking – uses data to inform decisions. Ability to work under pressure. Competency in all computer packages, i.e. Outlook, Excel (Advanced), PowerPoint, Internet Must have a supportive, team mindset.
